Import contacts (CSV)

Columns: name, phone, company, country, notes, tags. AiSensy's contact export works as is (Name, Mobile Number, Tags; other columns are kept as details). Separate tags with commas or semicolons.

Import chat history (admin)

CSV or JSON from AiSensy or another tool. Needs a phone, direction (incoming/outgoing or user/agent), message and time per row. Safe to re-run: duplicates are skipped. Imported chats are history only: they don't reopen the 24-hour reply window.

Templates

Approved templates can start a chat. Status comes from Meta; sync after you create or edit templates in WhatsApp Manager.

NameLanguageCategoryStatusFull text

Saved replies

Answers you use again and again. In any chat (WhatsApp, Messenger, Instagram, comments) type / or \ in the reply box, then pick one with the arrow keys and Enter, or click it. Typing more letters filters the list (e.g. /price).

Variables are filled in for each contact: {name} {first_name} {agent} (your name), or the same with double braces: {{first_name}} {{name}} {{trade}} {{stage}} {{agent}} and any custom field key. Add a fallback with {first_name|Bhai}.

Template fields

How {{1}}, {{2}}… are filled when sending a template, per template name (all languages). Use "name", "first_name", "agent" (the sender's name), "email" or a field key to fill it in, "ask:Job role" to ask the sender, or "ask:Email address|email" to ask with the contact's email pre-filled. Templates not listed use "default". Leave empty to restore the built-in mapping.

Tag tidy-up

Makes every tag name UPPERCASE and merges tags that differ only in letters' case or spacing. No chat loses a tag. "Preview" changes nothing; every real run can be undone.

Same reply rules as the Dashboard: auto-replies and campaigns are not counted as a reply. Office time counts only office hours.

Times are clock time (not only working hours). Response time = from the customer's first unanswered message to the next reply typed by a person. Missed = chats that messaged us in the period and are still waiting for our reply now. Auto-replies don't count as a reply.

      Campaigns

      New campaign

Sends one approved template to many contacts, slowly, in the background. Opted-out contacts and duplicates are skipped automatically. Marketing templates must follow Meta's rules: only message people who agreed to hear from you.

Template fields can use {{first_name}}, {{name}}, {{trade}}, {{current_city}} or any field key, with a fallback: {{first_name|Bhai}}. Contacts with an empty value and no fallback are skipped.

      Who gets it

Tags, stage, field, ad, reply status and previous campaign are combined with AND (e.g. tag "Heavy driver" + "Waiting for our reply"). The phone list below is added on top. Dates are in the inbox time zone.

      CV inbox

Documents and photos candidates sent on WhatsApp. Files are saved on the server when they arrive; WhatsApp only keeps them for about 30 days.

      Staff list

Our own people. Mobiles (E.164) and e-mails are unique. Inbound WhatsApp/email from these numbers/addresses flags the chat as Staff (excluded from AI drafts, customer reports, unanswered counts and autonomy). A CV they forward is registered in CV Bank with source staff:<name>; the candidate identity comes from the CV, never the staff number.

      AI CV reader

Reads CVs (PDF, Word, scans and photos) with OpenAI and fills empty fields on the candidate card. Staff entries are never overwritten; anything the AI is not sure about goes to the Check list. CNIC and passport numbers are never stored.

      50-CV test

Reads a mixed sample of stored CVs and makes a review sheet (AI answer next to the card). Nothing is saved to the cards. Works with AI_ENABLED=test.

Backfill existing CVs (Batch, half price)

Sends the CVs already in the system as one OpenAI batch (results within 24 hours). Always estimate first.

      Voice-note transcripts

Writes what a voice note says (Urdu, Punjabi, English) under the audio player, marked "check audio if unsure". Notes over 3 minutes are skipped. The cost counts in the same monthly AI cap. Switch: VOICE_TRANSCRIBE = off / test / on.

      Job matching (JD)

Upload a job description or demand letter (PDF, Word, text or a photo). Check the requirements, then match: the best candidates are graded A, B or C with a short reason. "Draft WhatsApp" only makes drafts for the 8 PM approval: nothing is sent from here.

      Business Brain

One place for the facts every reply depends on: business profile, open positions, FAQs, reply rules and the questions the system needs you to answer. Every change is logged and can be undone. Nothing here sends a message.
